Minutes for Unit 509 Board Meeting:
Called to order: 5:00

Attended: Jane Bender, Karen Weissberg, Jan Conklin, Maxine Reagh, Tony Jackson, Cathy Wagener, Mimi Armstrong, Kathy Venton

Treasurer’s Report: Balance as of March 1, 2018 is $3,640.77 (attached).

Sectional Report: Maxine distributed a Preliminary Accounting Review of the Unit 509 Spring 2018 Sectional with a breakdown of costs. The net profit is $1,503. Good attendance was a big factor in this profit. The ACBL website, our Unit 509 website, good distribution of our fliers and lots of word-of-mouth helped with boosting attendance. Maxine stated that the rules have changed concerning the entry fee for non-members.

The number of tables that played at each session is as follows: Saturday morning 47.5; Saturday afternoon 43; Sunday morning 26; Sunday afternoon 24 for a total of 140.5.

Jane and Jerry purchased the sodas from Costco, which was a big help and the cookies from Jane and Tony for Saturday were great. Maxine stated there was lots of help with the set up and clean up as well as lots of donated food. The sandwiches both days seemed to be a hit.

Regarding changes that could be made for future Sectionals held at Odd Fellows Hall, Kathy Venton suggested having just four rows of seven tables in the main room with a fifth row in a third room, making the room less crowded and thus safer in case of emergency.

Also, Tony suggested having a sign up sheet for both days for volunteers to help with set up and clean up.

Our next Unit 509 Sectional is September 29 and 30, 2018 at Odd Fellows Hall.

Petaluma Report: Karen stated she had nothing to report.

Sectional Dates for 2019 and 2020: Sanctioned sectional dates for 2019 are confirmed for March 9 and 10, 2019 and September 21 and 22, 2019.

Sanctioned sectional dates for 2020 are confirmed for March 7 and 8, 2020. We are awaiting ACBL approval for our requested Fall dates of September 12 and 13, 2020.

Jane has been in communication with Richard Meffley, District 21 Tournament Coordinator. He will give us a date in September; however, we will be in conflict with another Sectional. We may have to store equipment such as tables, bidding boxes, etc. until the next day as Calvin will be busy with another Sectional. Maxine stated ACBL now requires us to have a flyer done a year before the Sectional, so she has done this for the March 2919 Sectional and it gives Odd Fellows Hall as the location.

The Board discussed the idea of having just one tournament a year instead of two. After discussion it was decided to go with two tournaments through 2020.

Sectional Venue: Members of the Board are collecting information about other venues and will consider the pros and cons of each at the next meeting, considering factors of cost, availability, storage, flexibility, etc.

Award Event: Cathy said the Mini McKenney award ceremony is scheduled for Sunday, April 15. Players in each masterpoint category who win the most masterpoints are recognized. The Helen Shanbrom Ace of Clubs Awards recognize players through the masterpoint category of 10,000+ who earn the most masterpoints in club games. The awards are printed and given to us by ACBL. Tony will emcee the event. He will explain what the awards are for and call the recipients up and their picture will be taken. The event will be held at 12:30 p.m. before the 1:00 p.m. unit game. Last year there were lots of spectators. There will be a cake from Costco and Cathy will bring lemon water and balloons. Coffee and tea will also be provided.

Learn Bridge In A Day: Kathy Juarez stated she has about eight people signed up. Karen stated John Shribbs had thirteen people signed up. Kathy stated she’d be doing a Press Democrat ad and ACBL will pay for half of it. Karen will do an e-blast also. Tony moved and Karen seconded a motion for the unit to pay one fourth of the ad at $125.

Items for April Agenda: The Holiday party and spring sectional venue.
